Confirm identity and destination
Start with the client or company. Then compare the supplier and invoice reference with the source. A familiar supplier name is not a substitute for checking the actual document.
Make sure the record is going to the intended accounting workspace. Resolve any uncertainty about transaction type or supplier mapping before moving on.
An approval should mean the source, the details, and the destination have been checked.
Compare the details and exceptions
Check the dates, amounts, currency, tax, and line items required by your workflow. Use the original to resolve differences rather than copying a value from an unrelated record.
Look at possible duplicates and any review notes. Confirm who owns an unresolved question. Leave the item pending when the evidence is not sufficient to approve it.
Check the finish
Confirm that the source file is available and the relevant reviewer has approved. After the sync attempt, check both the resulting record and its attachment status.
The interactive checklist on this page is a reusable template. Checking its boxes does not review a real invoice or send anything to QuickBooks. Use it alongside your actual document process.
